Who we are
This website is run by Fika Designs Ltd, a company registered in England and Wales (company number 17422847). Our registered office is Old Coal Yard, Muck Lane, Rackheath, Norwich, NR13 6ST.
We are the controller of the personal data described here, which means we decide how it is used and are responsible for looking after it. If you have a question about your data, email jack@fikadesigns.co.uk or call 07799 522150.
What we collect and why
When you send an enquiry
Our enquiry forms ask for your name, email address, what you need and a short note about the project. You can also give a phone number and your business name if you want to. The form records which page you sent it from, so we know what you were looking at.
We use this to reply to you and, if you ask, to put together a quote. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in answering the people who get in touch with us.
When you email, call or message us on WhatsApp
We keep what you send us, and your contact details, so we can reply and keep track of the conversation. The lawful basis is the same as for the enquiry form.
Analytics, only if you say yes
If you accept analytics cookies, Google Analytics 4 records which pages you visit, how you arrived, the type of device and browser you use, and your approximate location (town or region, not your address). It helps us see which pages are useful. It does not tell us who you are, and we use it for no advertising. The lawful basis is your consent, which you can withdraw at any time. If you say no, or say nothing, Google Analytics does not load at all.
When you visit the site
Our hosting provider keeps short technical logs of requests to the site, including IP addresses, browser details and the pages requested, to keep the site running and secure. The lawful basis is our legitimate interest in running a working, secure website.
If we work together
We keep client records, such as contact details, project correspondence and invoices, to deliver the work and because the law requires us to keep financial records. The lawful bases are performing our contract with you and our legal obligations.
International transfers
Some of these providers store or process data outside the UK, mainly in the United States. When that happens, the transfer is protected by the UK’s adequacy regulations, including the UK Extension to the EU–US Data Privacy Framework where the provider is certified, or by the International Data Transfer Agreement or Addendum approved by the Information Commissioner.
How long we keep it
- Enquiries that do not lead to a project: up to 24 months, then deleted.
- Client records: six years after the end of the financial year they relate to, as tax and accounting rules require.
- Analytics data: 14 months, the retention period set in our Google Analytics account.
- Hosting logs: a short period, as set by our hosting provider.
Your rights
Under UK data protection law (the UK GDPR and the Data Protection Act 2018) you can ask us to:
- give you a copy of the personal data we hold about you (access);
- correct anything that is wrong or incomplete (rectification);
- delete your data (erasure);
- limit how we use it (restriction);
- stop using it where we rely on legitimate interests (objection);
- send it to you or another organisation in a portable format (portability);
- withdraw your consent to analytics at any time, using the Cookie settings link at the bottom of every page.

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
